Data Backup Policy

Overview

InventX is committed to protecting your business data. Our Data Backup Policy describes the automated backup procedures, retention schedules, and restoration processes we maintain to ensure your inventory, invoices, payments, and other critical data are always recoverable in the event of data loss, corruption, or disaster.

Backup Schedule

We maintain multiple layers of automated backups:

• Full Database Backup: Daily at 00:00 UTC — a complete snapshot of database

Backup Retention

Backups are retained according to the following schedule:

• Daily backups: Retained for 7 days

After the retention period, backups are permanently and securely deleted using industry-standard data destruction methods.

Backup Storage & Security

All backups are:

• Encrypted: AES-256 encryption at rest; TLS 1.3 in transit
• Geo-redundant: Stored in at least two geographically separate data centres
• Isolated: Stored separately from production systems to prevent cascading failures
• Access-controlled: Only authorised InventX operations engineers can access backups, under multi-person approval

Recovery Procedures

Our Recovery Time Objective (RTO) — the time to restore service after a major incident — is 12 hours for database recovery and 24 hours for full system restoration.

Restoration can be performed at multiple levels:

• Full database restore: Complete rollback to any daily snapshot within the retention window
• Point-in-time recovery: Restore data to any specific minute within the last 30 days
• Table-level restore: Recover specific records or tables without affecting other data

Backup restorations are tested monthly in isolated environments to verify integrity and recovery procedures.

Self-Service Data Export

You do not need to rely solely on our backups. InventX provides self-service data export tools directly from your dashboard:

• Export products, invoices, payments, and stock ledger as CSV or Excel
• Download complete company data as a JSON archive
• Schedule automated exports to your own storage (available on paid plans)

We strongly recommend exporting your data regularly as an additional safeguard. Your data is your responsibility too.

Data After Account Deletion

When you delete your account, your production data is immediately deactivated and inaccessible. It is permanently deleted from production systems within 7 days. Backup copies containing your data are then cycled out according to the retention schedule above — within a maximum of 12 months, all backup copies containing your data will be permanently destroyed.
